Whether we’re providing FF&E services for a hotel, multifamily residential building, corporate office, or academic classroom, we have the knowledge and expertise to create an FF&E package that reinforces the design intent of the space, meets the Owner’s standards of quality, and respects the constraints of the project budget.
During the Programming Phase, Smallwood designers will work with the Owner to establish the design intent for the FF&E. We will visit existing facilities, review project documentation, and conduct interviews with key personnel to define goals and objectives for the project. Based on the information gathered, we will establish performance criteria, project standards, and goals for the quality of space. Our recommendations and observations will be summarized in a written program. We will then discuss with the Owner the feasibility of the program with respect to budget and schedule.
Smallwood designers bring creativity, knowledge, and experience to the FF&E design process. During the Schematic Design phase, we will present to the Owner design alternatives and procurement options. We will prepare preliminary furniture layouts and make preliminary FF&E selections for the Owner’s review. We will also prepare a preliminary cost estimate. Once the Owner is comfortable with a design direction, the schematic documents will be developed into a Design Development package that would include product data, illustrations, information on specially designed FF&E items, and an updated estimate for the cost of the work.
Thoroughness and attention to detail are critical for FF&E documentation. Once Design Development documents are approved, Smallwood will create FF&E Documents and specifications that describe in detail the location, procurement, fabrication, shipment, delivery, and installation of the FF&E.
Smallwood designers are knowledgeable of all major manufacturers and have successfully worked with their sales representatives to negotiate the delivery of their respective items on schedule and within budget. During the Procurement Phase, we will work with the Owner to establish a list of prospective vendors and to obtain quotations. We will respond to any questions that vendors may have in preparing their quotes. We will then assist the Owner in reviewing the quotations and awarding contracts to the selected vendors.
During the installation phase, diligence and follow-through are essential for a successful outcome. Smallwood will make periodic visits to the site to keep the Owner apprised of the general progress of the FF&E. We will review vendor submittals to ensure FF&E items conform with the project’s design intent. We will also assist the Owner in coordinating schedules for fabrication, delivery, and installation of the FF&E. Once the product has arrived on site, we will confirm quantities and notify the Owner of any defects or deficiencies. Finally, when Vendors notify us that work is complete, we will perform an inspection and recommend to the Owner whether the work should be accepted or rejected.
